How to create a work order?

The Work Order (WO) is the entity that represents the maintenance job to be performed and which asset, location or route it refers to.



To create a new Work Order, select the option "Work | Work Orders";

  1. The list of work orders will be displayed;
  2. Press the "Create" button.

When creating and editing the work order, you must consider:

  1. You need to select the asset type and fill in the corresponding asset (equipment, tool, location or route).
  2. Only routes with at least one asset will be available.
  3. The SLA start date is automatically filled in when the work order is first transitioned to a state defined as "SLA Start".
  4. The SLA end date is automatically filled in when the work order is transitioned to a state defined as "SLA End". If the WO transitions more than once by the state defined as "SLA end", the date is the last time it transitioned to the state with that configuration.
  5. The employee can only select routes in which he can access all route assets, the access to the assets is defined at the access level.
  6. It is not possible to add 2 duplicated maintenance plans to a work order.
  7. If the asset selected when creating the work order has the fields supplier and/or customer filled in, the value of those fields will be automatically inherited in the work order. If you wish otherwise, you can always change the fields and select other values.
  8. If you wish to create a related work order, click on (...) and then on "Create Related Work Order". This opens the work order creation window, copying all the original work order data and filling in the field "Source Work Order" with the original work order. Only attachments, follow-ups, additional tasks and cost details are not copied. The technician can also perform this operation.
  9. By creating the work order, the first person in charge of the workshop is suggested as the Person in Charge. The same happens if you change the workshop.
  10.  If the work order was created from a related work order, the asset can be changed.
  11. If the work order was created from the request, the asset can be changed when creating the work order and the request asset is updated. When editing the work order, you can change the asset and update the asset for all associated requests.
  12. If the work order was created individually, it is allowed to change the asset when creating or editing.
  13. If the work order has records in: Assignments, Meter Readings, Monitoring Values, Failures, Down Time, Task Verifications, Labor, Consumptions or Misc Costs, you cannot change the asset.

When editing the work order, you must consider:

  1. If the work order is on the "Locked for changes" state, you cannot change any attribute, except the state and the observations if in the state configuration, the option "Allow to change observations" is inactive. If it is active, the field observations can be changed.
  2. If the work order was created from a preventive event or has an asset of type Route, you cannot change the asset when editing.


The state change is performed in the work order view interface and not on the work order editing interface.

To automatically close a work order, if it is in a state previous to the final state for over X days, it is necessary to access the option "Settings | Work | Background Services", activate the option "Enable Closing Work Orders" and define the number of days in "Close Work Orders After (days)".
